General Terms & Conditions

1. Registration & Booking

Registration for Alpine Pole Retreat must be completed through the official registration form. By submitting the registration form, the participant confirms that the information provided is accurate and that they have read and accepted these General Terms & Conditions.

Submitting the registration form does not automatically guarantee a place. Each registration will be reviewed and confirmed by email.
A booking is considered secured only once the participant has received confirmation from Alpine Pole Retreat and the required first payment has been received.

Participants must be at least 18 years old at the time of the retreat.

2. Packages & Prices

The applicable price is the price displayed on the official Alpine Pole Retreat website at the time of registration. All prices are stated in Swiss Francs (CHF), per person, and accommodation prices are based on double and single occupancy.

The services included depend on the package selected at the time of booking and are detailed on the Alpine Pole Retreat website. Unless specifically stated as included, transportation to and from Champéry, personal expenses and any additional services purchased during the retreat are not included in the package price.
For international participants, currency conversion rates and any bank, card or international transfer fees are the responsibility of the participant.

Massage and spa access are included in the relevant packages and will be organized through dedicated time slots. Participants will be invited to select their preferred time slots in advance, on a first-come, first-served basis. Specific time slots are subject to availability and cannot be guaranteed.

3. Payment Terms

Once a registration has been accepted, the participant will receive an invoice by email.

Payment may be made in full or in up to three instalments. A first payment of at least CHF 300 is required to secure the booking. The remaining balance may be divided into up to two further payments and must be paid in full no later than February 15, 2027. Failure to make the required payments within the agreed deadlines may result in the booking being cancelled and the place being offered to another participant.

4. Participant Cancellation & Refund Policy

All cancellations must be communicated to Alpine Pole Retreat in writing by email. As accommodation, catering and other services must be booked and committed to in advance, the following cancellation policy applies:

More than 90 days before the start of the retreat:
Cancellation is possible with no cancellation fee, and all amounts paid will be fully refunded.

Between 90 and 75 days before the start of the retreat:
Cancellation is possible with a CHF 60 cancellation fee, which will be deducted from the amount refunded.

Between 74 and 45 days before the start of the retreat:
50% of the total retreat price will be refunded.

Less than 45 days before the start of the retreat:
The booking becomes fully non-refundable, as accommodation and other services have been definitively committed to our partners by this stage.

Regardless of the cancellation date, participants who are unable to attend may transfer their booking to another eligible participant in accordance with the conditions set out below.

No refund will be provided in the event of late arrival, early departure, missed workshops or any other unused service included in the participant's package.

Participants are strongly encouraged to take out appropriate travel and cancellation insurance covering illness, injury, transportation disruption or any other unforeseen circumstances that may prevent them from attending the retreat.

5. Transfer of Booking

If a participant is unable to attend Alpine Pole Retreat, they may transfer their booking to another eligible person, including after the booking has become non-refundable. The replacement participant must meet the level and prerequisites applicable to the pole workshops and must accept these General Terms & Conditions.

Any transfer must be communicated to and approved by Alpine Pole Retreat before the start of the retreat. The original participant is responsible for finding a replacement. Alpine Pole Retreat cannot guarantee that a replacement participant will be found.

Any financial arrangement between the original participant and the replacement participant remains entirely their responsibility. Alpine Pole Retreat will not act as an intermediary for the resale or reimbursement of the booking. If the booking is successfully transferred, no additional cancellation fee will apply. Any requested change of package or accommodation by the replacement participant will be subject to availability and may result in additional charges.

6. Shared Accommodation & Cancellations

Shared accommodation prices are based on double occupancy. If one participant sharing a double room or premium room cancels and no replacement participant is found, the remaining participant may be required to cover 50% of the additional accommodation cost resulting from single occupancy. Where possible and subject to availability, Alpine Pole Retreat may instead offer the remaining participant the possibility of sharing the accommodation with another participant. If the cancelled booking is successfully transferred to another eligible participant, no single-occupancy supplement will apply.

7. Cancellation by Alpine Pole Retreat

Alpine Pole Retreat requires a minimum number of participants in order for the retreat to take place. If the minimum number of registrations is not reached, Alpine Pole Retreat reserves the right to cancel the retreat. Participants will be informed no later than 75 days before the start of the retreat. In this case, all amounts paid directly to Alpine Pole Retreat for the retreat package will be fully refunded.

In the unlikely event that Alpine Pole Retreat must cancel the retreat for another reason, participants will be informed as soon as reasonably possible and payments made for the retreat package will be refunded.

Alpine Pole Retreat cannot reimburse or be held responsible for expenses booked independently by participants, including flights, train tickets, transfers, additional accommodation or other travel-related expenses.

For this reason, participants are strongly encouraged to book flexible or refundable transportation and to take out appropriate travel and cancellation insurance.

8. Changes to the Program

Alpine Pole Retreat reserves the right to make reasonable changes to the retreat schedule, workshop content, instructors or activities where necessary. Such changes may be made due to instructor availability, safety considerations, operational requirements or circumstances beyond the organizer's reasonable control. Any necessary adjustments will be made with the intention of maintaining the overall quality and spirit of the Alpine Pole Retreat experience.

Participation in workshops is optional. Participants are free to attend as many or as few workshops as they wish, provided they meet the applicable level and prerequisites.

9. Accommodation & Room Allocation

Accommodation will be provided according to the package selected at the time of booking. For shared accommodation, rooms will be allocated by Alpine Pole Retreat. Participants may indicate their preferences when they arrive, and every reasonable effort will be made to accommodate these preferences.

However, a specific room, bed or bed configuration cannot be guaranteed. Participants are expected to respect the accommodation, common areas, equipment and other guests throughout their stay. Any damage caused intentionally or through negligence may be charged to the participant responsible.

10. Workshop Level & Prerequisites

Pole workshops are designed for participants from intermediate level and above. Participants attending pole workshops are expected to be comfortable performing a good and solid invert, outside, inside leg, jamilla and shoulder mount.

The Yoga Flow & Flexibility and Morning Body Awakening sessions are open to all levels.

Pole workshops are approximately 1 hour and 30 minutes, unless otherwise indicated. The Yoga Flow & Flexibility and Morning Body Awakening sessions may have a different duration. Access to all workshops included in the participant's package is unlimited. Participation is entirely optional, and participants are encouraged to listen to their bodies and enjoy the retreat at their own pace.

11. Health, Safety & Participation

Participation in pole dance, yoga and other physical activities involves inherent physical risks. Each participant is responsible for assessing their own physical condition and participating according to their abilities, experience and level. Participants must inform the relevant instructor of any injury, physical limitation or other circumstance that could affect their ability to participate safely before taking part in a workshop.

Participants are expected to follow the instructions and safety guidance provided by instructors at all times. Alpine Pole Retreat and its instructors reserve the right to prevent or stop a participant from performing an exercise or participating in an activity if continuing is reasonably considered to present a safety risk. Participants are responsible for obtaining appropriate personal, accident, health and/or travel insurance for the duration of the retreat.

12. Meals, Allergies & Dietary Requirements

Meals served during Alpine Pole Retreat will be vegetarian. Participants must communicate any food allergies, intolerances or specific dietary requirements when completing their registration form. Every reasonable effort will be made to accommodate dietary requirements communicated in advance.

However, meals may be prepared in environments where allergens are present, and Alpine Pole Retreat cannot guarantee a completely allergen-free environment.

Beverages
Drinks are included with brunch and dinner, while water, juice, tea and coffee will be also available throughout the day. Outside mealtimes, soda drinks and alcoholic beverages will be available at additional costs. Any additional beverage charges must be settled before departure.

13. Photography, Video & Social Media

During Alpine Pole Retreat, photographs and video recordings may be taken of participants, instructors, workshops, activities and shared moments throughout the event. These photographs and recordings may be used by Alpine Pole Retreat for communication and promotional purposes, including publication on its website, Instagram and other social media platforms, as well as in future promotional materials relating to Alpine Pole Retreat.

By participating in Alpine Pole Retreat, participants acknowledge that photography and filming will take place during the event and that content captured during the retreat may be shared through Alpine Pole Retreat's communication channels.

Participants who prefer not to appear in photographs or videos are invited to inform the organizer during the retreat so that every reasonable effort can be made to respect their preference.

14. Personal Belongings

Participants remain responsible for their personal belongings throughout the retreat. Alpine Pole Retreat cannot be held responsible for the loss, theft or damage of personal belongings, except where liability cannot legally be excluded. Participants are encouraged to take reasonable precautions with valuables and personal items during their stay.

15. Companion Packages

Companion packages are intended for guests accompanying an Alpine Pole Retreat participant. Companions may enjoy the accommodation, meals, wellness facilities and other services specifically listed as part of their selected package. Unless otherwise stated, the Companion package does not include pole workshops or the massage reserved for retreat participants. The exact services included in each Companion package are those displayed on the Alpine Pole Retreat website at the time of booking.

16. Communication & WhatsApp Group

Important practical information relating to the retreat will be communicated by email and/or through a dedicated WhatsApp group created shortly before the retreat. The group will be used to share practical information, arrival details, final schedule updates and other useful information relating to the stay. It will also allow participants to connect before the retreat and, where helpful, coordinate their journeys to Champéry together. Participants are responsible for providing accurate contact information and checking communications relating to their booking.

17. Personal Data

Personal information collected during registration will be used for the organization and administration of Alpine Pole Retreat. This may include booking management, payment administration, accommodation arrangements, dietary requirements and necessary communications before and during the retreat. Personal information may be shared with service providers involved in the organization of the retreat where reasonably necessary to provide the booked services. Personal data will not be sold to third parties.

18. Behaviour & Respect

Alpine Pole Retreat is intended to provide a welcoming, respectful and supportive environment for all participants, instructors and service providers. Participants are expected to behave respectfully towards others, the venue and the equipment provided throughout the retreat. Alpine Pole Retreat reserves the right to ask a participant to leave the retreat in the event of seriously inappropriate, dangerous, abusive or disruptive behaviour. In such circumstances, no refund will be due for any unused portion of the retreat.

19. Force Majeure

Alpine Pole Retreat cannot be held responsible for failure to provide all or part of the retreat where this results from circumstances beyond its reasonable control, including but not limited to severe weather conditions, natural disasters, government restrictions, major transportation disruption, epidemics or other exceptional events. Where such circumstances occur, Alpine Pole Retreat will make reasonable efforts to find an appropriate solution and will inform participants as soon as possible.

Any refund or alternative arrangement will depend on the circumstances of the event and on amounts recoverable from accommodation providers, instructors and other third-party service providers.

20. Applicable Law & Jurisdiction

These General Terms & Conditions and all bookings made with Alpine Pole Retreat are governed by Swiss law.
